LeaseBase Inc. (“LeaseBase,” “we,” “us,” or “our”) operates the cloud-based property management platform available at leasebase.ai (the “Platform”). This Privacy Policy describes how we collect, use, disclose, retain, and protect Personal Information when you visit our website, create an account, or use our services.
By accessing or using the Platform, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Platform.

1. Definitions
Throughout this Privacy Policy, the following terms have the meanings set forth below:
- “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household.
- “Property Owner” means any individual or entity that creates a LeaseBase account to manage rental properties, including landlords and property managers.
- “Tenant” means any individual who is invited to the Platform by a Property Owner in connection with a current or prospective lease.
- “Organization” means a Property Owner’s account workspace within the Platform, within which all associated data is isolated.
- “Platform” means the LeaseBase website at leasebase.ai, the LeaseBase web application, and all related services.
- “Service Provider” means a third party that processes Personal Information on our behalf pursuant to a written contract.
2. Scope and Applicability
This Privacy Policy applies to all Personal Information collected through:
- The LeaseBase website at leasebase.ai
- The LeaseBase web application and all Platform features
- Email and other electronic communications with LeaseBase
- Interactions between Property Owners and Tenants facilitated by the Platform
This Privacy Policy does not apply to information collected by third parties, including any third-party websites linked from our Platform. We encourage you to review the privacy policies of any third-party services you interact with.
3. Information We Collect
3.1 Information You Provide Directly
Account Registration Information:
- Full name
- Email address
- Phone number
- Password (stored in hashed form by AWS Cognito)
- Google account identifier (if you use Google OAuth sign-in)
- Profile photograph (optional)
- Role designation (Property Owner or Tenant)
Property Owner Information:
- Organization name and business details
- Property addresses and descriptions
- Unit details (unit numbers, square footage, bedroom/bathroom count, amenities, rent amounts)
- Lease terms, rental agreements, and related documents
- Banking and financial information for rent collection (processed by Stripe)
- Stripe Connect Express onboarding information
- Communication preferences and notification settings
Tenant Information:
- Full legal name
- Email address and phone number
- Current and prior residential addresses
- Lease-related information provided during onboarding
- Payment method details (credit card, debit card, or bank account for ACH), processed by Stripe
- Autopay enrollment preferences
- Maintenance request details, including descriptions and uploaded photographs
- Communication preferences
Documents and Files:
- Lease agreements and amendments
- Property-related documents (inspection reports, insurance certificates, photographs)
- Maintenance request attachments
- Payment receipts
- Any other documents uploaded to the Platform

3.2 Information Collected Automatically
- Device Information: Browser type and version, operating system, device type, screen resolution, and device identifiers
- Usage Data: Pages visited, features used, clickstream data, session duration, and referring URLs
- Log Data: IP address, access times, error logs, and API request metadata
- Cookie Data: Information collected through cookies and similar tracking technologies (see Section 8)
- Analytics Data: Aggregated usage patterns collected via Google Analytics
3.3 Information from Third-Party Sources
- Google OAuth: If you sign in using Google, we receive your name, email address, and profile picture from Google
- Stripe: Transaction confirmation data, payment status, and payout information
- Dropbox Sign: E-signature completion status, signer identity verification, and signed document records
4. How We Collect Information
We collect information through the following methods:
- Direct input: When you create an account, fill out forms, upload documents, submit maintenance requests, or communicate through the Platform
- Automated collection: Through cookies, web beacons, server logs, and analytics tools when you interact with the Platform
- Third-party services: From authentication providers (AWS Cognito, Google), payment processors (Stripe), and e-signature providers (Dropbox Sign)
- Property Owner submissions: Tenants’ contact information may be provided by Property Owners when setting up leases or sending invitations
5. How We Use Your Information
We use the Personal Information we collect for the following purposes:

- Creating and managing user accounts and Organization workspaces
- Authenticating users and maintaining session security
- Facilitating property and unit management
- Processing lease creation, execution, and lifecycle management
- Enabling rent collection, payment processing, and autopay functionality
- Managing maintenance requests and work order tracking
- Storing and organizing documents
- Generating reports and analytics for Property Owners
5.2 Communications
- Sending transactional emails (account verification, payment confirmations, lease notifications, maintenance updates)
- Delivering in-app notifications and alerts
- Responding to support inquiries
- Sending service-related announcements (scheduled maintenance, feature updates, policy changes)
5.3 Security and Compliance
- Detecting, preventing, and responding to fraud, abuse, and security incidents
- Enforcing our Terms of Service
- Complying with legal obligations
- Maintaining audit logs for accountability and dispute resolution
5.4 Improvement and Analytics
- Analyzing usage patterns to improve Platform features and user experience

6. Sharing and Disclosure of Information
We do not sell your Personal Information. We share Personal Information only in the following circumstances:
6.1 Within the Platform
- Between Property Owners and Tenants: When a Tenant is associated with a Property Owner’s Organization, certain information (names, contact details, lease terms, payment history, maintenance requests) is shared between the parties as necessary to manage the landlord-tenant relationship.
- Organization Members: Property Owners may invite team members to their Organization who will have access to Organization data based on their assigned roles.
6.2 Service Providers
We share Personal Information with third-party Service Providers who process data on our behalf, subject to contractual obligations to protect your information. See Section 7 for details.
6.3 Legal Requirements
We may disclose Personal Information when required by law, subpoena, court order, or governmental regulation, or when we believe in good faith that disclosure is necessary to:
- Comply with applicable law or legal process
- Protect the rights, property, or safety of LeaseBase, our users, or the public
- Enforce our Terms of Service
- Detect or prevent fraud or security issues
6.4 Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, Personal Information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Platform before your Personal Information becomes subject to a different privacy policy.
6.5 With Your Consent
We may share your information for any other purpose with your explicit consent.
7. Third-Party Service Providers
We use the following third-party services to operate the Platform. Each provider processes only the data necessary to perform its designated function:

Each Service Provider is contractually required to use Personal Information only for the purposes specified by LeaseBase, to maintain appropriate security measures, and to comply with applicable data protection laws.

Cookies are small text files stored on your device when you visit a website. We use cookies and similar technologies to operate the Platform, remember your preferences, and understand how you use our services.

9. Data Retention
We retain Personal Information only for as long as necessary to fulfill the purposes described in this Privacy Policy, comply with legal obligations, resolve disputes, and enforce our agreements. The following retention periods apply:

When the applicable retention period expires, we will securely delete or de-identify the data. Certain data may be retained in encrypted, anonymized backups for up to an additional 30 days as part of our disaster recovery process.
10. Data Security
We implement industry-standard technical, administrative, and physical safeguards to protect your Personal Information against unauthorized access, alteration, disclosure, or destruction. These measures include:
10.1 Technical Safeguards
- Encryption at rest: All data stored in our databases (Aurora PostgreSQL) and file storage (S3) is encrypted using AES-256 encryption via AWS Key Management Service (KMS)
- Encryption in transit: All data transmitted between your browser and our servers, and between our internal services, is encrypted using TLS 1.2 or higher
- Role-based access control (RBAC): Access to data within the Platform is restricted based on user roles (Property Owner, Tenant, team member) and Organization membership
- Per-Organization data isolation: Each Organization’s data is logically isolated at the database level through row-level security policies, ensuring that one Organization’s data is never accessible to another
- Audit logging: All significant actions within the Platform (login events, data modifications, administrative changes) are logged for security monitoring and accountability
- Password security: Passwords are hashed using industry-standard algorithms via AWS Cognito; LeaseBase employees never have access to plaintext passwords
- Infrastructure security: Our services run in isolated containers on AWS ECS Fargate with no persistent server access, reducing the attack surface
10.2 Administrative Safeguards
- Employee access to production systems is limited to authorized personnel on a need-to-know basis
- All employees and contractors are bound by confidentiality obligations
- Regular security reviews and vulnerability assessments
- Incident response procedures for prompt detection and remediation
10.3 Limitations
While we strive to protect your Personal Information, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security, and you use the Platform at your own risk. If you believe your account has been compromised, please contact us immediately at info@leasebase.ai.
11. Your Rights and Choices
Depending on your jurisdiction, you may have the following rights regarding your Personal Information:
11.1 Right to Access
You may request a copy of the Personal Information we hold about you. We will provide this information in a commonly used, machine-readable format within 45 days of a verifiable request.
11.2 Right to Correction
You may request that we correct inaccurate Personal Information. You can update most account information directly through the Platform’s account settings. For information that cannot be edited directly, please contact us.
11.3 Right to Deletion
You may request that we delete your Personal Information, subject to certain exceptions (such as data we are required to retain for legal or regulatory purposes, or data necessary to complete a transaction you requested). See Section 9 for retention obligations that may apply.
11.4 Right to Data Portability
You may request a copy of your data in a structured, commonly used, machine-readable format (JSON or CSV). This includes your account information, lease data, payment history, and documents.
11.5 Right to Opt Out of Communications
You may opt out of non-essential communications at any time by updating your notification preferences in your account settings or by clicking the “Unsubscribe” link in any marketing email. You cannot opt out of transactional communications necessary for Platform operation (such as payment confirmations, security alerts, and legal notices).
11.6 How to Exercise Your Rights
To exercise any of the rights described above, you may:

We will verify your identity before processing any request. Verification may require you to confirm information associated with your account. We will respond to verifiable requests within 45 days. If additional time is needed, we will inform you of the reason and extension period (up to an additional 45 days).
12. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act as amended by the California Privacy Rights Act (collectively, “CCPA”). This section supplements the rest of this Privacy Policy.
12.1 Categories of Personal Information Collected
In the preceding 12 months, we have collected the following categories of Personal Information as defined by the CCPA:

12.2 Business Purposes for Collection
We collect Personal Information for the business purposes described in Section 5, including providing the Platform services, processing payments, communicating with users, ensuring security, and improving our services.
12.3 Sale and Sharing of Personal Information
We do not sell your Personal Information. We have not sold Personal Information in the preceding 12 months. We do not share Personal Information for cross-context behavioral advertising purposes as defined under the CPRA.
12.4 Your CCPA Rights
As a California resident, you have the right to:
- Right to Know: Request that we disclose the categories and specific pieces of Personal Information we have collected about you, the categories of sources, the business purposes for collection, and the categories of third parties with whom we share it
- Right to Delete: Request deletion of your Personal Information, subject to certain legal exceptions
- Right to Correct: Request correction of inaccurate Personal Information
- Right to Opt-Out of Sale/Sharing: Although we do not sell or share Personal Information as defined by the CCPA, you may submit an opt-out request, and we will honor it prospectively
- Right to Limit Use of Sensitive Personal Information: We do not use or disclose Sensitive Personal Information for purposes other than those permitted under the CCPA
12.5 How to Submit a CCPA Request
You may submit a verifiable consumer request by:

You may make a request to know or delete up to twice in any 12-month period. We will verify your identity by matching information you provide against information we have on file. If we cannot verify your identity, we may ask for additional information or deny the request.
12.6 Authorized Agents
You may designate an authorized agent to submit a CCPA request on your behalf. To do so, you must provide the authorized agent with written permission signed by you, and we may require the agent to provide proof of the authorization. We may also contact you directly to verify your identity and confirm the request. Authorized agents may submit requests by emailing legal@leasebase.ai with the subject line “CCPA Authorized Agent Request” and attaching the written authorization.
12.7 Non-Discrimination
We will not discriminate against you for exercising your CCPA rights. Specifically, we will not:
- Deny you access to the Platform
- Charge you different prices or rates
- Provide you a different level or quality of service
- Suggest that you will receive a different price or level of service
12.8 Shine the Light (Cal. Civ. Code § 1798.83)
California residents may request information regarding the disclosure of Personal Information to third parties for their direct marketing purposes. LeaseBase does not disclose Personal Information to third parties for their own direct marketing purposes. If this practice changes, we will update this Privacy Policy and provide an opt-out mechanism. You may contact us at legal@leasebase.ai to inquire about this right.
12.9 Financial Incentive Programs
We do not offer financial incentives or price or service differences in exchange for the retention or sale of Personal Information.
13. CalOPPA Compliance
In accordance with the California Online Privacy Protection Act (CalOPPA):
- This Privacy Policy is accessible from every page of the Platform via a conspicuous link
- We clearly describe the categories of Personal Information collected and the third parties with whom it may be shared
- We describe the process by which users will be notified of material changes to this Privacy Policy
- We include the effective date of this Privacy Policy
13.1 Do Not Track Disclosure
Some browsers offer a “Do Not Track” (“DNT”) signal. There is currently no industry standard for how companies should respond to DNT signals. At this time, the Platform does not respond to DNT signals. We will update this disclosure if an industry standard for DNT response is established.
14. CAN-SPAM Compliance
We comply with the CAN-SPAM Act of 2003 for all commercial email communications. Specifically:
- We will not use false or misleading header information or deceptive subject lines
- We will identify commercial messages as advertising where required
- We will include our physical mailing address in commercial emails: LeaseBase Inc., 447 Sutter St, Ste 506 – 1438, San Francisco, CA 94108
- We will honor opt-out and unsubscribe requests within 10 business days
- We will not sell, rent, or share your email address with third parties for their marketing purposes
Transactional emails related to your account, payments, leases, maintenance requests, and security alerts are not considered commercial messages and are not subject to unsubscribe requests, as they are necessary for Platform operation.
15. Electronic Signatures
15.1 E-Signature Service
LeaseBase uses Dropbox Sign (formerly HelloSign) to facilitate electronic signing of lease agreements and related documents. When you sign a document electronically through the Platform:
- Your name, email address, and IP address are recorded by Dropbox Sign as part of the signature audit trail
- A timestamp of your signature is recorded
- The signed document is stored in your LeaseBase account and a copy is maintained by Dropbox Sign
15.2 Consent to Electronic Signatures
By using the e-signature feature, you consent to conducting the transaction electronically and agree that your electronic signature has the same legal effect as a handwritten signature under the federal Electronic Signatures in Global and National Commerce Act (ESIGN Act) and applicable state laws including the Uniform Electronic Transactions Act (UETA). You may withdraw consent to future electronic signatures by contacting us, though this may limit your ability to use certain Platform features.
15.3 Record Retention
Signed documents and associated audit trails are retained for a minimum of 7 years after lease termination in accordance with our data retention schedule. You may request a copy of any document you have signed at any time through the Platform or by contacting us.
16. Automated Decision-Making
LeaseBase uses limited automated processing in the following areas:
- Payment scheduling: Automated processing of recurring rent payments (autopay) based on schedules configured by Property Owners and enrollment by Tenants
- Notifications: Automated generation and delivery of alerts for lease events (upcoming expirations, payment due dates, maintenance status changes)
- Lease status management: Automated transitions of lease statuses based on defined lifecycle rules (e.g., activation upon full execution of signatures)
These automated processes are administrative in nature. LeaseBase does not use automated decision-making or profiling that produces legal effects or similarly significant effects on individuals. We do not use algorithms to make decisions about tenant screening, creditworthiness, or lease approval. Such decisions are made solely by Property Owners.
17. Property Owner and Tenant Data
LeaseBase serves two distinct user types with different data handling considerations:
17.1 Property Owner Data
Property Owners are the primary account holders who create Organizations on the Platform. Property Owners control:
- What property and unit information is entered into the Platform
- Which Tenants are invited to the Platform
- Lease terms and document content
- Payment collection settings, including autopay availability
- Team member access and permissions within their Organization
Property Owners act as data controllers for certain Tenant data within the landlord-tenant relationship. LeaseBase processes this data on behalf of the Property Owner to provide the Platform services.
17.2 Tenant Data
Tenants are invited to the Platform by Property Owners. Tenant data is collected for the purpose of managing the landlord-tenant relationship and includes:
- Contact information and account credentials
- Payment methods and transaction history
- Lease-related information
- Maintenance requests and communications
Tenant data is accessible to the associated Property Owner within the Organization. If a Tenant is associated with multiple Properties or Organizations, their data is maintained separately within each Organization’s isolated data environment.
17.3 Data Upon Lease Termination
When a lease ends, the associated Tenant’s data remains accessible to the Property Owner for the applicable retention period (see Section 9). Tenants may request deletion of their account and data, subject to legal retention requirements. Lease agreements and payment records will be retained as required by law even after account deletion.
18. Data Breach Notification
18.1 Incident Response
LeaseBase maintains an incident response plan for detecting, containing, and remediating data security incidents. In the event of a data breach involving Personal Information:
18.2 Notification to Affected Individuals
- We will notify affected individuals without unreasonable delay, and in no event later than required by applicable law (within 72 hours of discovery where required by California law for breaches involving specified Personal Information)
- Notification will be provided by email to the address associated with your account, and where appropriate, by prominent notice on the Platform
- Notification will include: a description of the incident, the categories of information involved, the steps we are taking in response, and recommendations for affected individuals
18.3 Notification to Authorities
We will notify the California Attorney General and other applicable regulatory authorities as required by law, including when a breach affects more than 500 California residents.
18.4 Mitigation
Upon discovery of a breach, we will take immediate steps to contain and remediate the incident, assess the scope and impact, and implement measures to prevent recurrence.
19. International Data Transfers
LeaseBase is based in the United States and our Platform infrastructure is hosted entirely within the United States on Amazon Web Services (us-west-2 and us-east-1 regions). All Personal Information collected through the Platform is stored and processed in the United States.
The Platform is currently intended for use within the United States. If you access the Platform from outside the United States, you understand and consent to the transfer of your Personal Information to the United States, which may have data protection laws that differ from those in your jurisdiction. By using the Platform, you consent to such transfer.
If we expand operations to other jurisdictions in the future, we will update this Privacy Policy to address applicable international data protection requirements, including, where applicable, the European Union General Data Protection Regulation (GDPR) and transfer mechanisms such as Standard Contractual Clauses.
20. Children’s Privacy
The Platform is not directed to children under the age of 18. We do not knowingly collect Personal Information from children under 18 years of age. The Platform requires users to be at least 18 years old to create an account, as it involves legally binding lease agreements and financial transactions.
If we learn that we have collected Personal Information from a child under 18, we will take steps to delete that information promptly. If you believe that a child under 18 has provided us with Personal Information, please contact us at legal@leasebase.ai.
21. Accessibility
We are committed to making this Privacy Policy accessible to all users. This Privacy Policy is available in HTML format on our website. If you have difficulty accessing this Privacy Policy due to a disability, please contact us at info@leasebase.ai or call us at (650) 448-2555 or toll-free at (855) 609-2031, and we will provide the information in an alternative format.
22. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes:
- We will update the “Last Updated” date at the top of this Privacy Policy
- We will notify you by email to the address associated with your account at least 30 days before the changes take effect
- We will post a prominent notice on the Platform
Your continued use of the Platform after the effective date of a revised Privacy Policy constitutes your acceptance of the changes. We encourage you to review this Privacy Policy periodically.
23. Contact Information
