Getting Started

How do I create my account?

Go to app.leasebase.ai and sign up with your email or Google account. Your account is free for up to 3 units — no credit card required. You can also download the iOS or Android app and sign up there.

How do I add my first property?

After signing up, you will land on your dashboard. Click Add Property, enter the address, and LeaseBase will auto-fill details from public records. Then add your units (apartments, houses, rooms) and you are ready to go. Most owners are fully set up in under 10 minutes.

How do I bring over my existing tenants?

Go to the unit where your tenant lives, click Add Tenant, enter their name and email. LeaseBase sends them an invitation to create their own tenant portal. They do not need to download anything — they can use the web app or mobile app. Your existing lease terms stay exactly the same.

Is there a mobile app?

Yes. LeaseBase is available on iOS (App Store) and Android (Google Play). Both owners and tenants can use the mobile app for everything — maintenance requests, payments, messages, and portfolio management.

Is LeaseBase really free?

Yes. LeaseBase is free for up to 3 units with no time limit and no credit card. If you have more units or want advanced features like compliance tracking and AI daily briefings, paid plans start at $29/month with no per-unit fees. See our pricing page for details.

Is my data safe?

Yes. LeaseBase uses bank-level encryption (AES-256 at rest, TLS 1.2+ in transit), runs on AWS infrastructure with SOC 2-compliant hosting, and isolates each organization’s data at the database level. We never sell your data. See our security page for full details.

Properties & Units

What types of properties can I add?

LeaseBase supports single-family homes, duplexes, triplexes, fourplexes, apartment buildings, condos, and townhomes. Each property can have multiple units. There is no limit on the number of properties — limits are based on total units across your portfolio.

How do I edit property details?

Open the property from your dashboard, click the settings icon or Edit button. You can update the address, property type, year built, and any custom notes. Changes are saved instantly.

How does occupancy tracking work?

LeaseBase automatically tracks occupancy based on active leases. When a lease is active, the unit shows as occupied. When a lease ends or a tenant moves out, the unit automatically shows as vacant. You can also manually override availability for units under renovation or held off-market.

Can I remove a property or unit?

Yes. You can archive a property or unit from its settings page. Archived properties are hidden from your active dashboard but all historical data (leases, payments, maintenance) is preserved for your records and tax reporting.

Leases & E-Sign

How do I create a lease?

Navigate to the unit, click Create Lease. Choose from built-in templates or upload your own lease document. Fill in the terms — rent amount, start/end dates, deposit, and any additional clauses. LeaseBase pre-fills details from the property and tenant records to save you time.

How does e-signing work?

After creating a lease, click Send for Signature. Both you and the tenant receive a link to review and sign electronically. LeaseBase uses Dropbox Sign for legally binding e-signatures that comply with the ESIGN Act and UETA. Signed documents are stored securely in your account.

How do I handle lease renewals?

LeaseBase alerts you before leases expire — typically 60-90 days in advance, based on your jurisdiction’s notice requirements. You can create a renewal from the existing lease, adjust the rent or terms, and send it for signature. The old lease automatically closes when the renewal activates.

Can I use my own lease documents?

Yes. You can upload any PDF lease document. LeaseBase will attach it to the unit and tenant record so everything is organized in one place. You can also use the e-sign feature with uploaded documents.

Rent Collection

How do tenants pay rent?

Tenants pay through their LeaseBase portal via ACH bank transfer. You set the rent amount when you create the lease, and tenants see their balance and payment history in their dashboard. Payments deposit directly to your connected bank account.

Can tenants set up autopay?

Yes. Tenants can enable autopay from their portal, and rent is automatically collected on the due date each month. You can see which tenants have autopay enabled from your dashboard. Tenants can turn autopay on or off at any time.

How do late fees work?

You configure late fee rules when setting up the lease — the grace period (e.g. 5 days), the fee amount (flat or percentage), and whether it recurs daily. LeaseBase automatically applies late fees according to your rules and your jurisdiction’s limits. Tenants see the fee on their balance.

When do I receive my money?

After a tenant pays, funds are typically deposited to your bank account within 3-5 business days for ACH transfers. You can track all payouts from your financial dashboard with full transaction history.

Do tenants get payment receipts?

Yes. Tenants receive an automatic receipt via email for every payment. They can also view and download their full payment history from their tenant portal at any time.

Maintenance & Repairs

How do tenants submit maintenance requests?

Tenants submit requests from their portal or mobile app. They describe the issue, select the category (plumbing, electrical, appliance, etc.), mark urgency, and can attach photos. You get notified instantly via email, push notification, and in your dashboard.

How do I assign work to a vendor?

Open the work order, click Assign Vendor, and select from your saved vendor list or add a new one. The vendor receives details about the issue. You can track the status of every work order from submission through completion.

How do I track work order progress?

Every work order moves through clear stages: Submitted, Acknowledged, In Progress, and Completed. You can add comments, attach photos of completed work, and both you and the tenant can see the full timeline. LeaseBase keeps a permanent record for each unit.

Account & Billing

How do I upgrade my plan?

Go to Settings → Billing in your dashboard. You can upgrade or downgrade at any time. When you upgrade, you get immediate access to the new features. When you downgrade, the change takes effect at the end of your current billing cycle.

How do I cancel my subscription?

Go to Settings → Billing and click Cancel Plan. You will retain access through the end of your billing period. Your data is never deleted — you can export everything before canceling, and you can reactivate at any time.

Can I export my data?

Yes. You can export your property data, lease records, payment history, and maintenance logs at any time from your dashboard. Your data belongs to you — we make it easy to take it with you if you ever leave.

How do I reset my password?

Click Forgot Password on the login page and enter your email. You will receive a reset link within a few minutes. If you signed up with Google, you can continue to sign in with your Google account without a password.

Can I manage multiple portfolios?

Yes. LeaseBase supports multiple organizations under a single login. If you manage properties under different LLCs or entities, each can have its own organization with separate financial tracking, while you switch between them from one account.
