Switch from Spreadsheets to LeaseBase

You built your tracking system from scratch — that takes real effort. Now upload that spreadsheet and let LeaseBase turn it into a full property management platform. Your column names, your structure — we read it all automatically.

What LeaseBase Reads from Your Spreadsheet

Your ColumnWhat LeaseBase CreatesExamples We Recognize
Property Name / AddressProperty“Property”, “Address”, “Location”, “Building”
Unit NumberUnit“Unit”, “Apt”, “Suite”, “#”
Tenant NameTenant“Tenant”, “Renter”, “Name”, “Resident”
Lease Start / EndLease“Start Date”, “Move In”, “End Date”, “Expiration”
Rent AmountLease Rent“Rent”, “Monthly Rent”, “Rate”, “Amount”
DepositLease Deposit“Deposit”, “Security Deposit”, “SD”
Email / PhoneTenant Contact“Email”, “Phone”, “Contact”

Your column headers don’t need to match exactly — our AI recognizes common variations and maps them automatically.

Step-by-Step: Export Your Spreadsheet

Google Sheets: Open your spreadsheet, go to File → Download → Comma-separated values (.csv). If you have multiple sheets (tabs), download each one separately.
Microsoft Excel: Open your file and go to File → Save As. Choose CSV (Comma delimited) or keep the native .xlsx format — LeaseBase reads both.
Apple Numbers: Open your spreadsheet, go to File → Export To → CSV or Excel.
Upload to LeaseBase: Drop your CSV or XLSX file into LeaseBase. That’s it — our AI reads your columns and builds your portfolio.

How LeaseBase Imports Your Data

1. Upload — Drop your CSV or XLSX file into LeaseBase. One file with all your data, or multiple files — both work.
2. AI Classifies & Extracts — Our AI reads your column headers, identifies property names, unit numbers, tenant names, lease dates, and rent amounts. It understands your structure, whatever it looks like.
3. Review & Confirm — Smart entity matching deduplicates properties and tenants that appear on multiple rows. Green means auto-matched, amber means confirm. Nothing changes until you approve.

What Gets Imported

Properties

Addresses from your property/address columns

Units

Unit numbers, bedrooms, rent amounts

Tenants

Names, emails, phone numbers

Leases

Start/end dates, rent amounts, deposit amounts

Any payment tracking in your spreadsheet is preserved for your records. LeaseBase starts fresh with online rent collection — tenants pay through your new LeaseBase tenant portal.

Why Landlords Upgrade from Spreadsheets

  • Your data stays current automatically. No more forgetting to update a cell after a rent increase, lease renewal, or tenant move-out. LeaseBase keeps everything in sync.
  • Online rent collection. Stop tracking payments manually. Tenants pay online, payments are recorded automatically, and you see who’s paid and who hasn’t at a glance.
  • Compliance monitoring built in. Your spreadsheet can’t tell you when a rent increase exceeds the legal cap. LeaseBase tracks rent caps, deposit limits, and required disclosures for 60+ California cities.
  • Maintenance tracking and tenant portal. Tenants submit requests through their portal instead of texting you. Work orders, vendor assignments, and cost tracking — all in one place.
