Migration Guide

Switch from Zillow Rental Manager to LeaseBase

Zillow Rental Manager doesn’t let you export anything. No CSV, no Excel, no PDF. We know that’s frustrating — and we’ll help you move everything over by hand if needed.

Zillow Rental Manager is a listing and rent collection tool. It has zero export functionality — no CSV, no Excel, no PDF downloads.

How to Get Your Data Out of Zillow

Step 1. Log in to Zillow Rental Manager and open each property listing. Screenshot or manually note the property address, unit details, and listed rent amount.
Step 2. Navigate to Payments and screenshot your payment history for each tenant. This is the only record you’ll have — Zillow provides no download option.
Step 3. If you have copies of your lease agreements outside Zillow (email attachments, local files), gather those PDF files. If your leases exist only in Zillow, screenshot the key terms.
Step 4. Upload whatever you have to LeaseBase — lease PDFs, screenshots, even a quick spreadsheet with property and tenant names. Our AI reads it all.
Step 5. If you’re stuck, fill out the switch form and we’ll walk you through it personally. We’ve helped landlords migrate from Zillow before — we know the pain points.

How LeaseBase Imports Your Data

1. Upload — Drop whatever you have — lease PDFs, spreadsheets, even screenshots. CSV, XLSX, and PDF all supported.
2. AI Classifies & Extracts — Our AI identifies each document type and extracts every property, unit, tenant, and lease term it can find. Even scanned images and screenshots are readable.
3. Review & Confirm — Smart entity matching resolves address variations and name differences. Green means auto-matched, amber means confirm. Nothing changes until you approve.

Hands-on help included. Since Zillow makes migration difficult, we provide personal onboarding to ensure nothing gets lost in the transition.

What Gets Imported

Properties

Addresses from lease docs or your spreadsheet

Units

Unit numbers and rent amounts from lease terms

Tenants

Names and contact info from lease agreements

Leases

Dates, rent amounts, deposits from lease PDFs

Zillow payment history cannot be exported. LeaseBase starts fresh with rent collection — tenants pay through your new LeaseBase tenant portal.

Why Landlords Switch from Zillow Rental Manager

  • You own your data. LeaseBase lets you export everything, anytime. Zillow locks your data inside their platform with no way to get it out.
  • Full property management. Lease management, maintenance tracking, vendor payments, compliance monitoring, and financial reporting — Zillow offers none of these.
  • California compliance built in. Rent caps, deposit limits, and required disclosures for 60+ cities — tracked and updated nightly.
  • No Zillow branding on your payments. Tenants see your name, not Zillow’s. White-labeled rent collection with direct deposits to your bank account.
